How to add a new client (VTiger)
Prerequisites * You have received a signed purchase order (PO) and Agreement.
Getting started.
Open the email from Docu.
Sign and click VIEW COMPLETED DOCUMENTSDownload the PO and agreement * Click the Download icon (top center) to a suitable temporary location. * Click Seperate PDFs. * Open the PDFs and make note of the Organization name.
Find the next available ClientID in VTiger (view all clients) * Go to VTiger > Organizations and filter the list to All Clients. * Click the CLIENT ID row heading to sort Descending (largest to smallest). * The first entry should be the most recent client before this new one. Make note of the ClientID.
Search for Organization (search all organizations) * Click the All Clients button to change the filter. * Click All Organizations. * In the Organization Name field, type the name of the new client and press Enter. * Hover your mouse over the new client name to highlight (do not click). * Click the pencil that appears in the quick pop-up menu on the far right.
Update Organization Details (assign ClientID) * Change TYPE to Client. * Change Organization Status to Client. * Enter the Client ID: from the previous step, add one to the most recent client's Client ID number and enter it here. *
From the downloaded Purchase Order (pdf): Check the Tax Exempt box if the client is tax exempt.
Update Additional Contact Details * Assigned to = Support Group * SLA Name = Standard SLA * (Optional) Set Is Management Client and Member Of as necessary (if this client will have subordinate clients).
Update Address Details * Enter the shipping address and billing address from the Purchase Order (pdf).
Update Client Profile Picture * Go to the client's website and download their logo. (This appears when they sign in to the customer portal.) * Click Browse and select the downloaded logo file.
make sure it is a png of reasonable size.
Reduce using a tool like TinyPNG as needed. * Click Save.
Create a folder for the new client * Open the shared storage location for client files (Box or Google Drive). * * Rename the PDF files using the standard convention * Upload the files to the shared storage (currently Box, but will change to Google Drive)
